Analyst Functions

Analyst  functionality will allow for an analyst to update Point of Contact and manage Institutional Status.

Actions completed within each function will be displayed in the Protocol History view.

    

Contact List

IRB protocol information will, at minimum, contain the PI information within the Contact List.  If additional individuals need to be assigned an analyst will need to make the update. Currently, the PI or Co-PI for IRB protocols, cannot make a request in ORCA. 

IRB protocols identified by the RRP Quality Assurance team will contain a Point of Contact. This person will be listed in the middle section, Point of Contact.  Visit section Study Personnel to review how to update the POC.

  • The assigned POC will receive automated Progress Report notifications in addition to the PI.


Institutional Status


eResearch Statuses

 

The below items are details that are view-only in ORCA, except Current Institution Status.  Next to each item will include the data source. If any item below is incorrect, the data source will need to be modified to make the correction.

Update Institutional Status

This section should only be modified by an OCR staff member. All IRB protocols will contain the section, Institutional Status. This status will be displayed only in O.R.C.A. and will not be found in the PIMS database. 

  1. Access O.R.C.A., click Protocols > IRB Protocols
  2. Search for your protocol
  3. From the Actions column, click the blue folder 
  4. From the Analyst Functions menu, click the link, Institutional Status
  5. Select an Institution Status
  6. Set the Effective Date by clicking into the field
  7. Click the button, Change Status


Study Personnel

How do I add a Point of Contact?
 

Adding a Point of Contact (POC) is necessary when an individual needs access to view the Protocol Documents folder via O.R.C.A.  

  • More than one Point of Contact can be selected.
  • The Point of Contact will also receive progress report notifications.
  • Individuals who are to be added as a Point of Contact, this is true for Investigators as well, must have a university domain id in order to access O.R.C.A.

An analyst must follow the below steps to update the POC section:

  1. Locate IRB Protocol and navigate to Analyst Functions
  2. Click Study Personnel from the menu
  3. Click the green Add Person + button
  4. Locate individual from list by clicking in the Select Person field, and typing a few characters of the last name.
  5. Select role type
  6. Click the green Add This Person button
  7. Click on their name as it is listed
  8. Go to POINT OF CONTACT for this protocol
    1. click the NAME is the POINT OF CONTACT for this protocol 
    2. select the Work, Home or Cell phone as the POINT OF CONTACT phone number
      1. If you see 999-999-9999, the individual does not have an assigned phone number and you will have the ability to update the information.(lightbulb)
    3. select Work or Alt as the primary email address for the POINT OF CONTACT
  9. Click the green Save these Details button.


How to remove a Point of Contact?

An analyst must follow the below steps to update the POC section:

  1. Locate IRB Protocol and nagivate to Analyst Functions
  2. Click Study Personnel from the menu
  3. Click on their name as it is listed
  4. Go to POINT OF CONTACT for this protocol
    1. click the NAME is the POINT OF CONTACT for this protocol. Once clicked the highlighed 'Y' will now be a highlighed 'N' and the record will minimize and not display contact details, like phone number
      or email address.


  5. Click the green Save these Details button.

O.R.C.A. / Velos eResarch

The menu link, O.R.C.A. / Velos eResearch is to be used by the CTO Manager when it is necessary to unassociate an eResearch ID (CTMS XX-XXXX) to a protocol or to sync eResearch with O.R.C.A.. For details specific to the CTO Manager, visit the below page:

Protocol History

The Protocol history will keep a view only record of actions taken to the said protocol. For each record, a  date/time stamp will display. For the progress report notifications the Event name for the type of notification that was emailed will be displayed. To access protocol History, click the  blue folder in the IRB Protocol list search.

 

Protocol Documents

Protocol Documents - Current Folder is a new addition to the IRB Analyst Functions.

The IRB protocol documents will soon be available to IRB Investigators and their designated Points of Contacts within O.R.C.A.
