Requesting new and updating current study personnel is completed through the Administrative Changes page. To access IACP Administrative Changes:

  • Log into ORCA
  • Locate your protocol
  • Click the Action drop down from your Dashboard
  • Click Administrative Change
  • Click Study Personnel from menu

 

Follow each of the next sections to either Edit your list of study personnel or Add a new individual. Please remember, only click the following check box once you have made changes to all study personnel.

Edit Study Personnel


To edit the current list of study personnel, click any where on the row:

  1. Items to edit
    1. Study role - participating or not participating in experimental manipulations
    2. Update a person to a delegate (this should be checked if this individual will be completing a Progress Report, Administrative Changes or submitting Animal Transfer and Relocation Requests)
    3. Update Point of Contact (POC) or Emergency Contact information
      1. If selecting a person as POC or Emergency Contact, you will also need to identify how to contact them. Either by telephone or phone.
        1. Phone - choose Work, Home, or Cell. 
        2. Email - choose Work, or Alt

          (lightbulb)if the option you choose is grayed out, the person you are editing has already identified a number or email for themselves.
          (lightbulb)if the option you choose is not grayed out, but available for you to type into, the person you are editing has not identified a number or email for themselves.

    4. Indicate if the individual has a conflict of interest
  2. After a person's study personnel profile has been edited and if you have additional edits to other study personnel listed, click the green button, Save these Changes. 
  3. If you have no other changes,  click the check box (see below image), then click the blue Submit Changes for IACUC Review.



Administrative Change status:

    1. To view the status, click the protocol history icon 
    2. Once your changes have been approved, the next time you log in, the information that was entered and approved will display (If yes was selected).
    3. if your changes are denied, an email notice will be sent to the PI/Co-PI.


Add Study Personnel

To add a person to study personnel:

  1. Click the Add Person button
  2. From the Select Person field, enter a few letters of the person's last name AND click the person's name.
    1. all individuals employed at the HSC or students should be listed in this drop down.
    2. if you need help searching, contact IACP@uthscsa.edu 
  3. From the Select Role field, choose an option.
  4. Click the Add This Person button. 
  5. The person will now be listed in the study personnel list (row will be green)
    1. Edit the person's profile as necessary. 
    2. After a person's study personnel profile has been edited and if you have additional edits to other study personnel listed, click the green button, Save these Changes. 
    3. If you have no other changes,  click the check box (see below image), then click the blue Submit Changes for IACUC Review.

Administrative Change status:

Add a Study Personnel (not listed in drop down list)

  1. From the Add Person to Study window, click the link Click here to add a person


  2. The second picture will display. Complete all fields. 
  3. Click Add This Person button.


  4. The person will now be listed in the study personnel list (row will be green)
    1. Edit the person's profile as necessary. 
    2. After a person's study personnel profile has been edited and if you have additional edits to other study personnel listed, click the green button, Save these Changes. 
    3. If you have no other changes,  click the check box (see below image), then click the blue Submit Changes for IACUC Review.

Administrative Change status:

    1. To view the status, click the protocol history icon

Remove a Person

  1. Click on the row of the person you want to remove
  2. Click the Remove Person button
    1. their row will now turn red
    2. if you no longer want to remove this individual, before you Submit, click the Red cancel button.
